This Candidate Privacy Notice (“Policy”) attempts to provide you with all the information you need regarding how Vim collects, uses, stores and processes your Personal Data when you apply for a position with us and the rights you have in connection with that Personal Data.
“Personal Data” for the purposes of this Policy, refers to personal information that identifies, relates to, describes, is reasonably capable of being associated with a natural person.
“Candidate” for the purposes of this Policy, refers to anyone who applies for a position or who otherwise seeks to work with or for us, whether on a permanent or non-permanent basis.

This policy governs the processing of Personal Data in connection with your status as a candidate. We may collect other Personal Data about you when you visit our website, use our services or interact with us in relation to other matters. 1. Personal Data That We Collect
When you apply for a job at Vim, we will ask you to provide certain Personal Data that will help us evaluate your qualifications and candidacy and to stay in touch with you during the application and recruitment process. Where permitted by law, we will collect the following information:

Personal Data used for identification of a Candidate such as: First and last name, Preferred first name and resume/CV;

Contact information such as: address (street, zip code, country), phone number, email address;

Eligibility information such as: resume/CV, cover letter, employment history (employers, job titles, length of employment) and educational background and training, linguistic capabilities, seniority, job skills and personal interests;

Reference materials and documents such as: job references and letters of recommendation, job salary/payment history, military records, titles and licenses, immigration visa status, security clearance;

Information that you provide us, such as: information about your work and personality traits such as answers during an interview, or answers to essay questions, or information about your salary expectations and work preferences;

Tests and assignments: we may ask you to pass exams, tests, participate in interviews (which may be conducted in person or remotely via video or audio conferencing), or perform assignments to assess your professional capabilities. In this context, we may collect the answers you will provide as part of these tests and assignments, the scores that you receive and the insights that our representatives gain, as a result of the examination of your performance in the tests or assignments, and particular matters that arose during such tests or assignments.
We may record interviews in video and/or audio formats and use automated or AI-based tools to generate transcriptions. These materials are used only to capture and document the interview and facilitate later review by our recruitment team. They are not used to evaluate or make decisions regarding your candidacy.
2. Purposes for Collecting and Processing Your Personal Data
We collect your Personal Data for recruiting purposes – so that we could identify and assess your candidacy and suitability for a job with Vim, whether it is the position that you applied for, or other vacant positions, to be in contact with you during the recruitment process and to prepare to offer you an employment contract if we decide to hire you.
We may also use your Personal Data for Vim’s HR management in general –

to perform analysis and obtain insights about the recruitment process carried out by the Vim;

to comply with diversity, inclusion and other legal requirements and to protect Vim’s legal rights;

to combine your Personal Data with information such as criminal background checks (where permitted by law) that Vim receives from third party service providers; and

when we believe in good-faith that using your Personal Data is necessary to protect the life, health, safety or other vital interest of Vim or any other person.
3. How we Collect your Personal Data
When you submit your CV, details and/or application to us in connection with applying to a job with the Company, our hiring and HR platform service providers will collect your Personal Data on our behalf. We may collect Personal Data from third party recruiting firms and websites.
With your permission, we may contact your job references and ask them to provide a reference about you. We may also gather information about you through social media pages, such as from your LinkedIn Profile. In addition to the information that you provide us with when you submit your candidacy for a position in the Company, we also record the information that you provide or that we gather throughout the process of examination of your candidacy.
4. Your Choice
Submitting a job application is voluntary. If you wish to withdraw your application at any time, please contact us to request that we stop considering your candidacy and delete your profile and any related materials. Deletion of your Personal Data and application materials will be carried out in accordance with our retention policy.
Opt-Out from Future Consideration: If your application is unsuccessful, we may retain your information for a reasonable period to consider you for future opportunities at Vim. If you prefer that we do not retain your information, please contact us at [email protected], and we will delete your information in accordance with our retention policy.
5. Sharing and Transferring Your Personal Data
Your information may be shared with our affiliates in relation to the purposes described above.
Vim may also use service providers acting on our behalf to perform some of the services described above including for the purposes of the verification and background checks. We may also share your Personal Data with recruitment agencies that referred your application to us. These service providers may be located outside the country in which you live or the country where the position you have applied for is located.
Vim may sometimes be required to disclose your information to external third parties such as to local labour authorities, courts and tribunals, regulatory bodies and law enforcement agencies for the purpose of complying with applicable laws and regulations, or in response to legal process.
We will also share your personal information with other third parties if we have your consent, or to detect, prevent or otherwise address fraud, security or technical issues, or to protect against harm to the rights, property or safety of Vim, our users, applicants, candidates, employees or the public or as otherwise required by law.
Vim operates globally, which means your information may be stored and processed outside of the country or region where it was originally collected. We ensure that international transfer of your Personal Data is done in compliance with applicable laws. We comply with certain legal frameworks relating to the transfer of data, such as the frameworks described below.
6. Cookies
Cookies are small packets of information sent to your web browser and then sent back by the browser each time it accesses the server that sent the cookie. Vim uses Session Cookies for legitimate purposes, such as facilitation of the use of our website and its features and tools. Your device removes session cookies when you close your browser session.
Part of our online recruiting process are performed and hosted by third party service providers. When you access their sites, they may place cookies or other tracking means on your device, consistent with our general privacy policy, which is available at: https://getvim.com/legal/privacy/.
7. Your Privacy Rights
Applicable privacy laws may grant you different rights in relation to your Personal Data. If you want to exercise your privacy rights, you can contact us at: [email protected].
You may be entitled to the rights of access, correction and deletion of inaccurate data.
Depending on you place of residence (e.g EU, UK, or California), you may have additional rights subject to the exceptions under any applicable law: erasure of your Personal Data, restriction of processing of your Personal Data, right to object to processing of your Personal Data, right to data portability, not to be subject to a decision based solely on automated processing, a right to file a complaint with a supervisory authority and a right to opt-out of selling or sharing your Personal Data.
If you request to exercise your privacy rights, we will ask you to provide us with certain information about you to make sure that you are who you claim to be and will make good-faith efforts to locate your Personal Data that you request to access, delete or correct.
The Company has not, and in the preceding 12 months has not, Sold or Shared Candidate Personal Data.
8. Retention of Your Personal Data
We store your job application documents and information for as long as necessary to fulfil the purposes of using such information and as permitted by law. We will delete your Personal Data from all our systems, when we no longer need to process it unless we are required under law to retain it.
9. Changes to this Policy
We reserve the right to modify this Policy as needed, for example following changes in law or regulations. The effective date of this version is posted below. If we make material changes to this Policy, we will seek to inform you directly.
